The new AI tools, what each one is for, and how to stack them

Context

In the last 90 days, OpenAI, Meta and xAI each launched an AI agent that keeps working after you close your laptop: Dots, Muse and Grok Bot. Google and Anthropic already have their own versions.

Several tools now also let a second AI approve actions for you. Check that setting before you connect anything.

Megan’s take

  1. Start with what you already pay for. Claude's voice mode and Gemini inside Gmail and Docs give you the most for the least risk.
  2. Check important drafts with a second maker. A different company's AI catches different mistakes.
  3. Test the always-on agents personally first. Dots and Grok Bot are promising, but prices, business controls and data terms are still settling. Skip Meta's Muse entirely; the warning is in the Muse section.

Claude Code

What it is. Claude working right on the files and folders on your computer. You tell it what you want in everyday words. You do not need to be a programmer.

Megan’s take. The most powerful tool here if you are willing to learn it. It is where you build your own agents, shortcuts and scheduled jobs.

Next step. Go to Settings and set every tool that can send something to "Needs approval". Then try the microphone for one request.

How to use it
  • Talk instead of type: click the microphone in the desktop Code tab, or type /voice in the terminal and hold Space. Both are dictation.
  • Schedule a task from the desktop app. It only runs while your Mac is awake. If it missed a run, it runs once when the Mac wakes up.
  • To run with your laptop closed, use a cloud routine. It runs on Anthropic's computers and reads its instructions from GitHub. Only let it read, not send. It is still an early test version.
  • Projects in Claude Code (beta, on Pro and Max) splits one conversation into jobs that keep going after you close the laptop.

What it is. An agent that works on documents, spreadsheets and research inside folders you pick.

Megan’s take. Cowork gives you much of Claude Code's power with less setup. It is a good first agent for document work.

What it is. An always-on agent with its own cloud computer and browser. You give it a goal and it keeps working between conversations.

Megan’s take. The most interesting new idea here. But it costs a lot for what it does today, and OpenAI has not said yet what controls businesses will get.

Next step. Wait until OpenAI publishes its usage terms (around 29 October) and its business controls before you try it at work.

you want something keeping an eye on things while you are away, and only reading until you tell it to act.

  • When you have not asked it to do anything, it can only read. OpenAI says that is built in

  • Create a dot in the desktop app. Reach it on desktop, web, phone, by voice call, or in Slack and Teams.
  • Start with read-only jobs and read its activity for a few days before allowing drafts.
  • Set Custom Rules to "Ask before taking action" for anything that sends or changes.

What it is. When you ask, a dot works in apps on its own computer, such as writing a Gmail draft with a chart attached.

Megan’s take. This is how an agent should work. It writes the draft, and you decide. Set it to always wait for you.

What it is. OpenAI's agent that does work on your computer. It started as a coding tool and now does much more. It is OpenAI's version of Claude Code.

Megan’s take. If you already use Claude, Codex is most useful for checking Claude's work.

Next step. Run one Claude draft through Codex and compare what each flags.

Megan’s take. Right now this is the best way to get work done just by talking. It is the main reason some heavy AI users pick Codex.

Megan’s take. The easiest way to get answers you can trace back to a source. It is also a good second check on Claude's work.

Megan’s take. These connectors let Claude read Google Chat. Set them up once Google approves your access.

Grok Bot

Warning

Musk sued my state of Minnesota for trying to prevent Grok's nudification technology, so for those who want to take a principled stand, avoid this. No judgment.

What it is. A team of named, always-on bots, each with its own role and memory, working on a cloud computer with a browser, files and a terminal. The computers are run by Cursor, not on your machine, so the bots keep working with your laptop closed. You give a bot a task in chat; it works on its own, comes back with drafts and voice memos, and asks for approval when it needs it. You can also teach one a task by showing it.

Megan’s take. The most hands-off agent here, and the one with the fewest safety limits.

Next step. Only try it on personal, non-work accounts, with every rule set to "Ask first".

How to use it
  • Give each bot one job.
  • Desktop app on Mac, Windows and Linux, plus iPhone, iPad and Android. Talk to a bot by typing, dictation or voice chat.
  • Routines run at least 5 minutes apart, up to 50 per bot. A bot can also start from a Slack message or a GitHub notification.
  • Teach a bot a task by recording up to 10 minutes of your own browser steps.
  • Tag @bot in a post on X to hand it a task. Not available for X accounts in the UK, EU, Australia, Iceland, Liechtenstein or Norway.
  • All of your bots share one cloud computer, including files, browser sessions and app logins. Each bot runs one screen task at a time.
  • The docs do not say which model runs Grok Bot.
  • Set every rule to "Ask first".

What it is. A chat assistant that, since May, can connect to Gmail, Google Calendar, Drive, OneDrive, Outlook, Teams, SharePoint and Salesforce.

Megan’s take. Grok does the job, but it repeats what Gemini and Claude already do.

Megan’s warning: I would not use Muse

In my view, Meta, the company behind Facebook, has the worst record of the big tech companies on taking people's data and on surveillance.

Muse asks for your email, your calendar and your messages, on top of what Meta already knows about you, your friends and the places you go. Handing Meta that wider and deeper reach is not a good idea.

I would not touch it with a 10-foot pole.

What it is. A personal agent with its own cloud computer that keeps working after you close the app and messages you when it has something.

Megan’s take. Do not use it. Muse would give Meta a wider and deeper view of your life than it already has.

Next step. Skip it. If someone on your team already uses it, have them turn off training and disconnect Gmail and Calendar today.

    Sort work by how bad a mistake would be

    Easy to undo: let it handle it. Goes out in your name: it drafts, you approve. Money, legal or people you know: it brings it to you.

Tip. Always think about handoffs. Where does this go next? If any action can flow out of the current work stream, start that branch. Work will get done smarter and faster.

Megan’s take. Rules 3 and 4 are the ones most people skip, and they are what make the rest safe. Start with one handoff you repeat every week, not a whole agent team.
